Sapience Event Refund and Transfer Policy

Deposit Policy
Deposits are refundable up to 45 days before the event, minus a $500 administrative fee. Deposits may be transferred once to another event within 12 months of the original payment date.

Full Payment Cancellation & Refund Policy

For participants who pay in full (including deposit):

  • 45+ Days Before the Event: A full refund will be issued, minus a $500 administrative fee (covers deposit).

  • 30–44 Days Before the Event: A 50% refund will be issued. Alternatively, you may transfer the full amount to a future event within 12 months. If the future event is higher in cost, the price difference will be payable.

  • Less Than 30 Days Before the Event: No refund will be issued. Transfers are not available within this window unless due to extenuating circumstances (see below).

Transfer Policy
You may request to transfer your full payment to a future event (within 12 months), provided you notify us at least 30 days prior to the original event. Transfers are subject to availability.

COVID-19 Policy

  • Before the Event: If you are unable to attend due to COVID-19-related issues (e.g., illness, quarantine, travel restrictions), contact us immediately. Depending on the situation, we may offer a refund or transfer to a future event.

  • During the Event: If you contract COVID-19 after arrival, we will follow safety protocols, including isolation. No refunds will be issued once the event begins, but you may receive a prorated credit (valid for 12 months) for any missed days due to illness.

Extenuating Circumstances
We understand that life is unpredictable. If serious, unforeseen circumstances arise, you may request an exception. All such cases are considered at the sole discretion of the Sapience team. Please contact us in writing as soon as possible.
